The short answer
An AI sourcer supports candidate discovery, comparison and shortlist preparation. An ATS tracks candidates and applications through the recruiting process. They can connect, but sourcing support does not replace recruiter review, candidate records or role-specific application tracking.
| Question | AI sourcer | ATS |
|---|---|---|
| Primary job | Prepare and explain potential matches | Track recruitment work and applications |
| Starting point | Role brief and permitted candidate sources | Candidate, job and client records |
| Useful output | A reviewable shortlist with evidence | Application status, feedback and next actions |
| Human control | Recruiter validates fit and outreach | Recruiter manages the application process |
| Connection | Hand approved profiles into the workflow | Preserve candidate and job relationships |
01
A better role brief comes before a better match
Capture must-have skills, location, relevant experience and genuine constraints. Keep preferences separate from requirements. A vague brief creates a vague shortlist, even if the interface looks sophisticated. Recruiters should review the criteria before a search runs.
Ask how the system deals with missing information. Not finding a skill in a profile is not the same as proving that the person lacks it. The output should distinguish evidence, missing data and assumptions so a recruiter can make a useful next move.
02
Ask where the candidate information comes from
Scope authorised sources first. Your own ATS, a permitted provider or another agreed source may be appropriate, depending on access rights and terms. A tool being technically able to reach a website does not establish permission to collect or use its data.
A custom sourcer is not a promise of unrestricted LinkedIn or job-board access. Review source permissions, retention, candidate privacy and the handling of sensitive information before including a data source. Keep responsibility for those decisions explicit.
- List permitted sources and access requirements.
- Check what information can be retained and reused.
- Record limitations and unavailable fields.
- Do not treat public visibility as unrestricted permission.
03
Prefer inspectable evidence to a confident score
A match percentage is not a hiring decision. Ask the tool to show which profile information supports each requirement, what is missing and what needs validation. Recruiters should be able to challenge an explanation and correct an inaccurate inference.
Evaluate representative profiles, including close matches, partial matches and clearly unsuitable candidates. Review both false positives and overlooked people. A useful assessment process tests where the system fails, not only where the demo works.
- Inspect evidence behind potential matches.
- Flag unsupported inferences and missing information.
- Review errors with recruiters using representative roles.
- Keep hiring and contact decisions with people.
04
Design the handoff into the ATS
An approved shortlist needs somewhere to go. Define whether the sourcer creates a candidate record, an application for the role or a review task. Preserve the role criteria and match explanation where recruiters can see them. Check for duplicates before creating another profile.
Outreach drafts should need review for accuracy and tone before sending. A candidate should not receive a message that invents experience, misstates the role or assumes availability. Approval belongs in the workflow rather than as a warning someone is expected to remember.
05
Own the workflow and the operating plan
Blue Craze Media scopes custom AI sourcers around the firm's roles, matching criteria and permitted data. The build and handover can include team training, documentation and agreed ATS connections. Features and ongoing requirements are established in the scope, not assumed from an illustrative demo.
Ownership does not remove provider terms, model limitations or privacy obligations. Agree access, dependencies, support and how the team evaluates future changes. The goal is a tool your recruiters can inspect and run, not a black box that replaces their judgement.
